Privacy Policy

How Project Zek handles information across the website, Discord integration, and game server.

1. Who is responsible for your data

Project Zek Administrators operates the Project Zek website, Discord integration, login server, and game server and is responsible for the personal data described in this Policy.

2. Information we collect

  • Website account information: email address, a securely hashed password, confirmation status, account timestamps, Terms and Privacy Policy acceptance timestamp and policy version, and authentication or password-reset tokens.
  • Discord linkage: Discord user ID, username or display name, avatar URL, and the date and time the account was linked. We request only Discord’s identify OAuth scope for account linking and do not receive your Discord password.
  • Discord membership and roles: when role synchronization is configured, the bot accesses your Project Zek server membership and current role IDs to add or remove the configured game-team roles. This membership response is used for the synchronization and is not stored as a separate profile in the website database.
  • Discord news content: message content, embeds, attachment links, message and channel IDs, author display name, and timestamps from configured announcement and patch-log channels. These records are copied into the website’s News section and kept synchronized with Discord.
  • Game and login-server information: linked login-server identifiers, account and character records, character team or deity, guild and gameplay statistics, PvP activity, sanctions, and related server state.
  • Technical and security information: IP addresses, login times, session data, request and error logs, security events, and information needed to detect abuse, enforce bans, and keep the Services operating.
  • Content and communications: screenshots or media you submit, reports, appeals, support messages, and other communications with Project Zek staff.

3. Why we use information

  • Create, authenticate, recover, and administer website and game accounts.
  • Link a Discord identity to the correct Project Zek account.
  • Enable Discord-gated account features and synchronize configured team roles.
  • Publish official Discord announcements and patch notes on the website.
  • Operate gameplay, rankings, maps, guilds, character pages, and PvP statistics.
  • Send transactional account, confirmation, security, or support emails.
  • Prevent cheating, fraud, account abuse, attacks, ban evasion, and other misconduct.
  • Diagnose failures, maintain backups, improve reliability, and protect users.
  • Comply with legal obligations and establish, exercise, or defend legal claims.

4. Legal bases

Where data-protection law requires a legal basis, we process information as necessary to provide Services you request and administer our agreement with you; for our legitimate interests in operating, securing, moderating, and improving a free community server; with your consent where consent is appropriate, including optional Discord linking; and to comply with legal obligations. You may withdraw consent by unlinking Discord or contacting us, but this does not affect processing already lawfully completed and may make linked features unavailable.

5. When information is shared

We do not sell personal data or use it for third-party behavioral advertising.

Information may be disclosed only as reasonably necessary to:

  • Discord, when you authorize linking and when the bot reads configured channels, verifies membership, or manages configured roles.
  • Infrastructure, hosting, database, backup, email-delivery, security, and technical service providers acting for Project Zek.
  • Project Zek administrators and moderators who need access to operate or protect the Services.
  • Authorities, rights holders, advisers, or affected parties when required by law or reasonably necessary to protect rights, safety, security, or the Services.

Public game statistics, character or guild information, rankings, screenshots, and Discord-sourced news may be visible to website visitors as part of the Services.

6. Retention and deletion

We retain information only for as long as reasonably needed for the purposes described above, including account operation, gameplay continuity, security, moderation, backups, dispute resolution, and legal obligations.

Unlinking Discord removes the Discord user ID, username, avatar URL, and link timestamp from your website account. Deleting your website account removes that account and its login-server mapping, but it does not automatically delete the separate login-server account, characters, gameplay history, public server records, sanctions, or security records. Contact us if you want to request deletion of additional personal data.

Discord-sourced news remains controlled by the configured Discord channels: edits and deletions are synchronized within the importer’s available history window. Backup copies and security logs may persist for a limited period before routine deletion or overwrite.

7. Cookies and local storage

The website uses essential session and security technologies needed to keep you signed in, protect forms against forgery, remember required state, and operate LiveView. We do not currently use advertising cookies. Your browser can block cookies, but account and interactive features may stop working.

8. International services

Discord and some infrastructure or email providers may process information in countries outside your own. Where required, we rely on the provider’s lawful transfer safeguards or another legally permitted transfer mechanism. Discord processes information under its own Privacy Policy.

9. Your privacy rights

Depending on where you live, you may have rights to receive information about our processing; access, correct, or delete personal data; restrict or object to processing; receive portable data; withdraw consent; and complain to a data-protection authority.

Submit a request using the contact method above. We may ask for information needed to verify that the request concerns your account. Some rights are subject to legal exceptions, including security, freedom of expression, and legal claims.

10. Children’s information

The Services and Discord integration are not intended for anyone under 13 or under the higher minimum age required in their country. Do not link Discord or provide personal data if you are below that age. Contact us if you believe an underage person has provided information so we can investigate and delete it where required.

11. Security

We use reasonable administrative and technical safeguards appropriate to a community-run service, including password hashing, access controls, and secure session protections. No online service can guarantee absolute security. Keep your credentials private and report suspected compromise promptly.

12. Changes to this Policy

We may update this Policy when the Services, data practices, or legal requirements change. We will update the date above and, when reasonably practical, announce material changes on the website or official Discord server.
